• Planned and scheduled work in line with our new OKRs (Objectives and key results) for the next quarter 🎯
• Designed a new process for booking meals that we’d like to test with you (see below) 🗓️

Booking Meals

One of our focuses for the next quarter is streamlining our regular operational tasks so our team at Local Welcome HQ can:

1. Discover new ways to improve the structure and productivity of our work, and focus on getting things running even more smoothly
2. Ensure that your next meals are advertised and ready to book onto as soon as possible after your last one.
3. Be as well set-up and prepared as possible to support 3 new groups in launching in the new year!

Current process

We’ve been working with you (our leaders) to use Whatsapp polls to capture when you’re available to lead, so we can agree dates for the next meals. Afterwards, we’ve followed up via Whatsapp to confirm when you’re booked to lead a meal, and the poll has remained as a record for you, as leaders, of who’s booked.

In the past, we’ve also used the following to confirm who’s booked to lead a meal:

• The Whatsapp chat description
• The calendar tool in your Leader Portal in Notion (previously called Leader Guides)

Process we’d like to test

Our goal for this form is to enable you as leaders to access better visibility of each of the elements required for a meal to go ahead. We also hope that, with a bit of development, it will pave the way for you to be able to start planning meals further in advance.

For our team here at Local Welcome, we hope your form submissions will provide us with clearer and more resilient access to information on the meals you’re planning (e.g. meal dates, approved leaders booked on, who’s doing the shopping).

We’d like the journey you take to submitting the form to be up to you - for example, whether you’d like to still use a Whatsapp poll - or something else - to see who’s free. We just have one request - please nominate one leader to submit the form so we don’t get confusing double-submissions!

Once you've submitted the form, a member of the Local Welcome team will be in touch to confirm your booking via Whatsapp, check in on any outstanding details, and will update the calendar tool in your Leader Portal to confirm the details.
